5 questions to ask yourself to determine if you need a virtual assistant

Whenever you get to a point where you think you need some help online, you may turn to a virtual assistant (VA) to do the work, and the majority of us are looking for people to do small tasks in order to free up some of our own time.  Most people don't really need a virtual assistant, but they decide to hire one to manage emails or support tickets, and it's not necessary because you likely have the time to do it yourself.

On the other hand, if you're making a ton of money and just want to manage a lot of VA's, then you can bring on a few to do your day to day tasks.  Even if you have 10 VAs doing work for you, you'll likely need to still be involved in your business in order to push it in the right direction.  A virtual assistant isn't an employee, they're people who do small tasks that you don't want to, which makes it easier and less stressful for you day to day. 

Below are the 5 questions you need to ask yourself if you think you might need a virtual assistant.

How long do you work each day?
If you have a website up and running and you think you need a VA, you need to ask yourself how long you're working each day.  If you're working less than 8 hours a day, you likely don't need a VA because you can do those jobs to fill in your daily routine.  Now, if you have plenty of money and you don't want to work that long each day, you can always hire a VA but it will just be a waste of money in the long run.  Don't be lazy, work a full day to make your business more successful, and hire a VA when there aren't enough hours in the day for you to complete all of your tasks.

How many projects would this VA handle?
If you have just one or two things for your VA to do each day, you probably can do them yourself if these tasks are only 30 minutes a piece.  If you don't have a spare hour in your day, then you may need that VA to come on board to help you out, but you're likely able to do the work yourself.

If you're working full time and can't finish all of your tasks each day, you likely need to bring on a VA to do the small stuff so you can focus on the meat of your business.  They will do the small things that are time-consuming while you focus on the things that actually make you money 5 questions to ask yourself to determine if you need a virtual assistant

Do you want to hire a VA so you don't have to work?
If you want to hire an assistant so you don't have to do the work yourself, you're likely not going to be very successful online.  You can't build a business online through VAs alone, you need to be hands-on and build it up to a point where it's self-sufficient and just needs small things done each day.  If you get to that point, you can bring on a few VAs to manage your emails, support tickets, etc.  Don't be lazy, build your business, and bring on VAs later on when you start to plateau

How much do you plan on paying your VA each month?
If you think it will cost $3 a day, you're not going to be happy with the VAs you're paying, because they won't do nearly as much work as you hoped they would.  A good VA overseas normally costs $450 to $750 per month on the low end and around $3,000 on the high end.  If you can't afford to pay those amounts, you probably aren't successful enough to bring on a VA and you need to keep grinding to build your business more.  The more successful you become, the easier it will be to let go of that amount of money to pay a VA to do small tasks.

Do you need multiple assistants to run your business?
If you don't know what you need to be done, you probably don't need a VA, which means you likely don't know how many VAs you need to run your business successfully.  You need to remember that a VA isn't there to boost your business, they're there to do small things in order to let you focus on the money making objectives. 

A VA is your assistant, they're not an employee, so you can't expect them to go above and beyond the call of duty.  This means you might need to bring on a few to get your smaller tasks done.  If you're paying them a decent amount, you will likely get 6 to 8 hours a day out of them, and that means you might only need 1 to do the work.  Another thing to think about is the skills required to get the jobs done and understand that not everyone can perform them.  You shouldn't be training a VA how to do a task, they should already know, which will increase your own productivity since you're not a teacher.  Hire the right VAs and watch the productivity increase on both ends.


In conclusion
VAs are great if you hire the right ones to do specific jobs.  Most assistants can monitor your emails and support tickets but not all of them know their way around your WordPress dashboard without training, and you need to remember that you're not a teacher.  If you're just being lazy, you need to stop, because you're going to hit a wall sooner rather than later and you'll just blame the VAs for not doing their jobs.  You need to remember they are only going to do small tasks in order to free up your time to focus on the bigger things.  They are not employees, they are just there to help you out so you're not so overloaded, if they were employees you'd be paying them much more lol 5 questions to ask yourself to determine if you need a virtual assistant

You need a virtual assistant if you know to yourself that you can't finish 1 or more task at a time. And you know to yourself that having a virtual assistant can make your life a lot easier because they can help you with your task, but you have to pay them for their services.

If you have made the decision to pay your virtual assistant, then it's their responsibility and obligation to ensure that they carry out the task they were given to the latter because they are paid for the job. It's only when they are just working to assist you, then it's very important to keep the task given to them at an average level for the good of your business.

I guess it’s not only about the workload as the reason for hiring a virtual assistant. Sometimes you need to consult someone regarding your work. An actual example is when I am writing an article. My main problem all the time is in thinking of a good title that I have to ask someone of the opinion. A virtual assistant can go over my article and give me suggestions for a title.

Virtual Assistants can be handy at times. If you have a lot of projects or multiple jobs that can make you a lot of money then chances are that you really need some help. The best way is to hire a qualified virtual assistant and outsource some of the jobs and tasks leaving the decision making to you.

Basically virtual assistant is someone who can help you because you cant able to accomplish things in your own anymore that is why you need them. The only difference is that this person is working you in the internet and not in person in daily basis.

Usually, the reason why you will hire a Virtual Assistant is that you don't want to do small tasks and just want to focus on how to grow your business. Some tasks like data entry are time-consuming and you would want another person to do this for you. Hiring a Virtual Assistant can be very helpful depending on the type of business that you have. If you have a drop shipping business, then it is recommended to hire VAs to do a research and listing. As long as they are great or have an experienced in this field, they can help your business get more sales.

This is a staple job in the freelancing business. I could imagine the trouble of just sitting at home all day in front of a computer screen so that you could be on call when the boss calls you to do something. Though I do get the need for Virtual Assistants, I do question if it's more efficient that hiring someone in person and having them by your side. You can't monitor the VA's work as he/she is not there physically.

I don't need one right now - but I think in the future as my business expands it might be something to look into. I do think you can get some really great value by outsourcing some of your work to a virtual assistant and freeing up your time significantly.

This is actually the reality of most businesses we see today because at first when your business is still at its early stages, there is definitely no need for hiring virtual assistant as long as you are not the lazy type since you don't have too many task to take care of. It's when you're being drowned with lots of job that you can't be able to finish all alone that you can be looking at getting a VA.

Yes, for right now I don't mind doing everything myself, I see myself as a hard worker and actually get bored if there's not enough to do during the day. I imagine though as business picks up it ends up being quite a necessity to have a VA for a lot of people.

Wouldn't it make more sense to hire a physical assistance then? With a VA, you won't be able to monitor what he/she is doing in the time you're hiring them to work for you. I get that you're swamped with work but I really don't think it's wise to hire a VA.

Hiring a virtual assistant at the early stages of the business is not practical for me too. I think that they are only needed when the business reached a certain point that major concerns need to be addressed and that you need to delegate the minor tasks to get the business going. It's also good that you are hands-on when you are starting to make the most of the learning process so when the time comes you need to hand over the minor tasks, you can give clear instructions and know what to expect.

Minding the kind of job you delegate to your VA is very important because you wouldn't want to overwork them and when things go wrong, you will end up blaming them for your own failing to do your job well. Their job is most likely to assist you in some aspects of your business, so don't try to exploit that because it won't end well for you and your business.

I think this is very important. There needs to be a clear understanding of expectations, and a plan for what the VA is going to handle. Without setting those clear expectations from the start there's a lot of room for misunderstandings and it can end up doing more harm than good!

I agree with on that. VA should have a minimal task and he should handle it very well or else if we will give them a complicated job, more risk that he might meet our expectations and he might makes mistakes, So in the end,we will double work it by ourselves so what is the point of having a VA now? The point is let us know the capabilities of the VA first and lets hire them if we really need it.

I always asked myself if I need to give a virtual assistant and the answer was always no. I mean, I've tried a few time, I even had the patience to teach someone what I'm doing online and what exactly I need, throughout this learning process my VA was paid in full.

The conclusion was always the same. A virtual assistant, even a good one, can never replace me. I'm not saying a VA can't offer quality work, I'm just saying what I'm doing only works if I am the one doing it.
At least at the moment. I do plan to hire VAs in the future for highly standardized type tasks. I believe you clearly need to outline everything a VA is going to do BEFORE you hire one.

Agree with this 100%. There are certain tasks you can outsource, but others are very person-specific, and often trying to offload those tasks onto a VA can be something that actually creates more work rather than easing the workload. If I do go down the route of hiring a VA in the future, ensuring that their role is well defined is going to be of the highest importance.

Exactly, you can use a VA as a second hand, some extra support. But, if someone pretends to hire a VA to just enjoy free time, that's a really bad decision, because no one can replace the owner of a business. First, that VA will never do the job exactly like you want it, and second, if you can handle your own work, then keep it that way, until the time comes when you really need a VA, you will saving money and getting straight feedback from your clients.

I would have to agree with you. Basically, virtual assistants have different qualities and approach on the task given. Some are more than we expected and some are less. Needless to say, virtual assistants will be a very big help for tasks that are needed to be done as soon as possible.

I was actually wondering how can I know whether a certain business needs to already have a VA, and I really appreciate that you give us some tips for that. But yes, I guess you need to make sure first that your business is stable in financial so that you can hold virtual assistant for your business. If the business is continuously growing then having other people help you like hiring a VA run it isn't a lose for you. In that way, you will not only improve the efficiency and other stuffs in your business but you also give other people an opportunity to have a decent job.

I would have to agree with you. Stability of the business especially on financial matters most when getting a virtual assistant. A business that is growing definitely needs a virtual assistant for a more efficient approach on the business. This may sound pricey at times but it will surely help.

I have never tried to have a virtual assistant since most of the time I can handle already my works. Having a virtual assistant is not an easy thing because you will need to invest money and time in it since you will be paying for their efforts and give them some training on how to do their tasks. As much as possible, don't hire a virtual assistant if it is not really needed to avoid any expenses.

"do you want a va so you don't have to work?" This is a prime question which I think all of us should keenly evaluate before taking on any online assistant. I always acknowledge the importance of trailblazing in your business and only taking someone to assist you later on when you have achieved some level of success. Otherwise, it would seem as if the business is really theirs and not yours. I have not taken up one but its definitely something worth considering after I have gotten to a certain level in my business.

I think when I get to the point of hiring a VA, it won't be because I don't want to work - I actually derive a lot of enjoyment and satisfaction from working. I do think though at a certain point if you're overloaded with tasks that your performance can suffer, you can rush through work, or just not complete it in a timely manner (thus losing potential customers). When I feel like my business isn't running at its maximum potential that's where I will be looking at hiring a VA.

Yeah and this happens when you have scaled up your business. There is no point in hiring a VA when youvare still a startup. Whatever small tasks you cannot accomplish then will just amplify when you scale up and become 10 times more hectic.

Vas are angels. If you are lucky to have a hardworking and honest VA, you found yourself a gem. VAs are a big help for business owners.
A company or business growth is something an owner always dream of. If you feel that your business is growing and you are becoming exhausted of your task, VAs will come in handy. I agree with this article and you can also add other factors to the reason why you need VAs. But this in general is superb.

I am a full time freelancer working from home, which means I am all day home and I do not have a regular job. In my experience, freelancing is a work that sometimes make you busy for throughout the week and sometimes you do not have anything to do except trap flies. When I am very busy I begin to think about hiring a VA, and sometimes when I do not have work, I simply sweep the idea away.

Yes freelancing can be hectic. And even freelancers after some time need VA or some other person they can work with. And that way they can decide if they can delegate the most of the work. You can see that these days it'd be better to delegate if you are earning good money from the market. And should be a good investment overall for saving time.

I agree with some of the comments here that you need to make your business stability before hiring a Virtual Assistant. Hiring a VA is a big obligation since you need to compensate for their hard work by paying them. If your business does well then you can continue to pay them. But if not, your VAs might end up losing their job.

There should be a clear understanding and setting of expectations when it comes to hiring VA's. They are just there to assist and not run the business or totally free the owner from work. If the business owner will not have to do anything then there's no need to hire a virtual assistant because he's got the time to do the tasks. The VA's are only supposed to do the small tasks to keep the business running but not the major tasks geared towards money making.

You are right. Virtual Assistants are just there to help the business owner. They are the secretary to do some small tasks. When it comes to the big decisions, it should be the job of the owner. However, some businessman requires their VA to have extensive skills to do some difficult tasks. And in this case, I believe that the VA should be paid a higher rate.

Which is why I question the need for a Virtual Assistant. Why not just hire a physical assistant or a secretary. A secretary doesn't just do things for you. He/She does small jobs related to the business too. A secretary can be skilled too. Just paid a good salary.

That's actually the reason why they prefer VA over secretary. They don't want to hire an employee and instead just seek for virtual assistants. There are many VA's who are outsourced. From what I know they don't have contracts and their pay is cheaper as compared to paying salary for a full time employee.

That is right. Since VAs are freelancers, you can pay them lower than hiring a personal secretary. There is no contract too which means you can fire them anytime if they don't do their work. You can also hire VAs from all over the world.

HIring a remote virtual assistant is cheaper compared to hiring a physical one. First of all, you don't have to pay for office space, second, the pay is less if you hire someone from like let's say the Philippines. At some point in your business, you would need employees to scale up, and every business owner would like to do it at minimal cost as much as possible.

I get that you don't need to pay for his/her SSS, Philhealth and Pag-IBIG. I also get that you're trying to save as much money as possible by paying him/her less, but do you think it's going to be worth it compared to a physical assistant that you can monitor the work you give?

There are tools that employers use to monitor the work of their employees. For example Time Doctor, Asana, etc. These tools take a screenshot of their screens every once in a while to check if they are working and not playing DOTA 2. Regarding the SSS, PhilHealth, and Pag-Ibig that can be arranged and would depend on the employer.

Well VA's started with just simple tasks like creating a day to day schedule for their employer or doing secretarial work and online errands like emailing ready made messages to or offers to clients. Nowadays VA's are doing a lot more, I know of some instances that VA's are getting paid a low salary for managing a small company. Some employers are taking advantage of VA's and they're giving them a larger job scope for a measly wage.

Yes, you are right. However, I see a few who hire project managers too for their businesses because they want to start a new one. Others also look for customer support since they cannot do everything on their own.

Your idea was right specially if your in tight budget and starting your business, I guess don't hire VA for now, but be the one to concentrate on your work. I guess if you have a lot of emails, phone calls and task to do well maybe you need one. But if you only work for 4 to 5 hours, better save your money instead you pay this to your VA. And I think you can monitor it more your business if you will be the one to handle it in the mean time.

If you can't focus on the much more important thing to do because of tons of work, you should better hire a virtual assistant. This may help people that already have a successful business to give time and attention to his other priorities without getting to much stress on which he will look at first. But if you can still do multitasking, I guess you don't have to hire a virtual assistant as of now. All you have to do is to balance your time so that you can pay attention to every thing that makes up your business. On that way, it could help you grow your business successfully without additional expenses.

I agree. You have to assess if you really don't have the time or you just lack time management. Growing business may need additional attention and that's where the help of VA can come in handy for the owner to focus on more important things. But if he is able to juggle the tasks without compromising the major tasks or those geared towards more profit, then it will only be an additional expense that might hurt the budget in the long run.

I think If I have some money then I would probably hire a virtual assistant especially if I have something important to do since it will helps me a lot to lessen the burden on my work. Although it would only mean additional expenses on my pocket but then if I think it would really help me and be worth it then I am willing to go for it.

When I was researching this industry what I learned in the process is :

1. Outsource to VA the tasks you don't want to do.
2. Outsource the tasks you should not do.
3. Outsource the tasks that saves your time.

These things need to be taken into consideration. You can see that VA life is not that easy for them either. So make sure to have as much instruction as possible for yourself to work around. I have seen that VA life is not necessarily that easy. VA industry seems to be good working if only you can properly get them to work on instructions.

I also like that you have the perspective from both sides, being a virtual assistant and hiring a virtual assistant. I agree that there should be laid out instructions on how to get things done. This will benefit both sides to avoid miscommunication as well.

Yes having the laid out instruction means you can get people to do the job better. And you can easily work around with your own skills. I have seen people who struggle without instructions. And some of the owners who don't give them proper guidance. And then end up complaining that they are not working the right way. I think that creates problem.

We only have 24 hours in a day and sometimes we need more than that to accomplish our tasks. We're only human afterall. It's not possible to do all the tasks in a day and still have the energy to go on the following days. That's where assistants come in. I'm in the boat where I think assistants should be physical and not virtual but hey whatever floats your boat.

This question is of no lesser value than the rest. It's really important we ask this question as well for our work-life balance. We need to set our priorities. It's not all about work or money, especially for parents. We won't be able to truly enjoy our success if we work our fingers to the bone but is a complete failure in providing quality time with our family.

I think that there must be a proper and we'll coordinated instructions to your prospective virtual assistant to make things clear and precise at the moment you hired them. It is also one way of assuring that virtual assistant can perform the job correctly based on what you like. You really need a virtual assistant if you want to finish your tasks as soon as possible, you also need a virtual assistant, if you want to boost something like for example your website, if you want to have lots of traffic, you can hire a virtual assistant online and they can do something to boost the traffic of your website.

I definitely need a virtual assistant. I work more now then when I had a regular 9 to 5 job. I work from 8 in the morning to sometimes 1.00 am or 2.00 am. I'm still trying to learn and figure my way round the online world. When I know what I'm doing and my online business starts to make good money I will definitely be getting myself a virtual assistant. I know you can find one of sites like Upwork and People per hour. I agree @jayaydimson a virtual assistant can come in handy when you need to do tasks like getting more traffic to your site/sites and you just don't have the time to do it.

Many people hire Va's because they expect that the VA will do most of the work they've been previously doing. This often proves disastrous eventually because odds are the person you hire may not be all that interested in seeing your business succeed. Should the business collapse they will simply move on, try to find another employer.

That is the nature of many you'll have to work with. They are all in it only for the money. As their employer should you draw back, then you lose.

I think I would refrain from having a virtal assistant especially if I am on a tight budget. As much as possible I will just work on my own so that I can manage to lessen my expenses since it is very costly sometimes to hire a virtual assistant. It is mainly because every penny counts in me that is why I would take good care for every centavo that I would be earning from my online jobs. It is really one of my priority to earn more and do the job properly in my own expense to be sure that everything wiil be at the right track.

Think of that moment where yiur business has really picked but to go to the next level you need employees. There are two options you can take; get full time hures or have freelancers working as VAs. In many instances VAs are cheaper and the best option. They also save time on vetting.

In the paragraph that says about the amount of time that you are working, you may need a Virtual Assistant even if you work less than 8 hours a day. Like me who has a family to attend to, it is not justified to work 8 hours or more if that will put pressure on my shoulder. I want to be free of stress as much as I can manage so maybe I will hire a VA if my budget can afford.

I have never tried hiring a virtual assistant in my entire life that is why i have no idea regarding on its hiring process as well as the payment terms for it. I am Interested to know on how much would be the exact rate that I would pay if ever I would hire a virtual assistant. These are the things that always comes in my mind whenever you hear the word virtual assistant.

You need a virtual assistant if you can't finish the job given to you on time, meaning to say that you need someone to help you out.

If your business is growing and a lot of tasks need to be done. It is recommended to hire a Virtual Assistant who can help you perform the tasks. It does not have to be a full-time freelancer, hiring a part-timer can help a lot. Hiring a VA does not only give you free time but allows you to focus on more important things for the success of your business.

I think for now I don't need a virtual assistant since I can handle all my work or tasks in a single day. I am full time employee but then I am still doing some online jobs to have a sort of extra income and I feel not it is not about time to hire a virtual assistant since my main goal for now is to increase my earnings.

VA can do things a lot easier but also in the same time we must also consider things if we really need such thing to avoid wasting money. You must first visualize if you really need one if he/she can perform the specific task you have assingned.

For now I don't have a business that needs to deal that is why I am not planning to hire a virtual assistant to mange my business if ever I would be having it in the future. I am busy doing now with my offline job since I am a full time employee but then I am also busy taking my online sites if I have some free time and if I have the chance to work on it.

If you can't always do multitasking, then you should, right away, not hesitate to get a virtual assistant. Just make sure that you can pay your virtual assistant which equals to his/her hardwork/effort. No man is an island, and it's better to do business and hire someone who can assist you.

Yes you are right on that, maybe I can hire a virtual assistant when I go on leave or a vacation for more than one week. I am planning to go out of town in the coming days but still don't have a specific date since I am still thinking of some place to go to have some unwind and do the fun for my family.

I have an uncle who has been hiring and firing different VA, until he found someone with the same attitude and work ethics like him, so I agree with you that VAs are great if you have the right one.
